Methodology
How We Rank Med Spa Software
Rankings on this site are comparative judgements about fit, not scores handed down from a laboratory. This page explains exactly what we look at and how we weight it.

The twelve criteria
Every platform is assessed against the same framework. Not every criterion matters equally to every practice, which is why our category pages re-weight them for specific situations such as single-site clinics or multi-location groups.
- Clinical and EMR capabilities — charting, consent, treatment records, provider workflow
- Scheduling and patient experience — online booking, provider rules, reminders, waitlists
- CRM and patient retention — segmentation, recall, lifecycle campaigns, lead handling
- Marketing — campaign tooling, reputation, referral and reactivation workflow
- Payments and memberships — processing, recurring billing, packages, gift cards
- Inventory — product and injectable tracking, units, lots, reorder logic
- Reporting and analytics — provider performance, retention, revenue by service and location
- Integrations — accounting, marketing, payments, lead sources and open APIs
- Ease of use — how much training a new front-desk hire or injector needs
- Customer support — availability, onboarding, implementation resourcing
- Pricing and value — transparency, fee structure, what is genuinely included
- Security and compliance features — access controls, audit trails, BAA availability
How order is decided
Where we present a list, the order reflects how frequently a platform is a serious candidate for the practice type the page is about, judged against the criteria above. It is not a scored league table, and a platform ranked lower can be the right answer for your clinic.
We do not publish numeric scores. Pages present documented attributes, capability comparisons and clearly labelled gaps instead of a rating that compresses very different products into one number.
What does not affect rankings
Advertising spend, affiliate relationships, sponsored placements, vendor profile upgrades and press access have no effect on ordering, ratings or the content of a review. Sponsored units are labelled and shown separately from editorial rankings.
Challenging a ranking
Vendors and practice owners can ask us to re-examine any assessment. Send the specific claim and supporting documentation to editors@medspasoftwareguide.com; substantiated corrections are applied and the page updated.
