How to Choose Med Spa Software

A structured way to evaluate med spa software without being led by feature lists, demos or discount deadlines.

Start from workflows, not features

Most software decisions in aesthetic practices go wrong at the first step: the owner starts by comparing feature lists instead of writing down how the practice actually runs. Feature lists are written by vendors to be comparable, which means they flatten exactly the differences that matter to you.

Write out four workflows in plain language before you book a single demo: a new patient from enquiry to first treatment, a returning injectable patient, a membership sale and renewal, and a month-end close. Everything you evaluate should be tested against those four paths.

  • New patient: enquiry, consultation, intake, consent, treatment, chart, rebook
  • Returning patient: recall, booking, chart review, photo comparison, checkout
  • Membership: sale, recurring billing, failed payment, credit redemption
  • Month end: provider productivity, service mix, inventory reconciliation

Separate must-have from nice-to-have before demos

A demo is a persuasion environment. The only defence is a written requirement list agreed before you see the product. Mark each requirement as must-have, valuable or optional, and refuse to reclassify anything during a demo.

For most medical aesthetic practices the must-have list is short: clinical charting your providers will actually use, consent capture attached to the record, reliable scheduling with deposits, payments that reconcile, and reporting that shows provider productivity.

Test with the people who will use it daily

Owners select software; front-desk staff and injectors decide whether it succeeds. Include at least one of each in the second demo and give them a task to complete rather than letting them watch.

The most predictive test is timing a single charted treatment end to end. If charting one appointment is slow in a controlled demo, it will be slower on a full day.

Price the whole contract, not the monthly fee

Subscription cost is rarely the largest number. Payment processing, SMS charges, implementation, data migration and per-provider add-ons routinely exceed it over a two-year period.

Ask every vendor for a written quote broken into those lines, plus the renewal terms and the cost of exporting your data if you leave.
