Why published pricing is rare
Most platforms serving medical aesthetics quote rather than publish, because pricing varies by provider count, location count and module selection. We do not estimate prices; where a vendor does not publish one, our software profiles read "Contact vendor".
The common pricing models
Almost every quote you receive will be built from some combination of the following components.
- Monthly or annual subscription, usually tiered by feature set
- Per-provider or per-user pricing that scales as you hire
- Per-location pricing for multi-site groups
- Payment processing, charged as a percentage plus a fixed amount
- SMS and email messaging charged per message or in bundles
- Marketing, EMR or reporting modules priced as add-ons
- One-time implementation and training fees
- Data migration fees, sometimes scaled by record count
Processing is usually the biggest line
For a practice taking most revenue by card, payment processing normally exceeds subscription cost. A difference of a fraction of a percent is worth more over a year than a discount on the monthly fee, so negotiate it explicitly and get the rate in writing.
Build a two-year total
Compare platforms on a two-year total that includes implementation, migration, expected messaging volume and processing on your actual card revenue. Vendors rarely present this number; building it yourself usually changes the ranking of your shortlist.
