What med spa software has to cover

A medical spa sits between a clinic and a retail business. The software has to serve both sides: clinical documentation with consent and treatment records, and commercial operations including memberships, retail, packages and promotions.

Platforms built purely for salons tend to handle the commercial side well and the clinical side thinly. Platforms built for clinics often reverse that. The buying problem is finding an acceptable position on that spectrum for your service mix.

Clinical requirements

Document what your providers chart today, including the level of detail for injectables. If you track units and lot numbers, that is a hard requirement, not a preference, and it affects inventory as well as the chart.

  • Service-specific note templates that providers can edit
  • Consent forms attached to the visit, with version history
  • Photography captured against the treatment record
  • Injectable units and lot numbers recorded at the point of care
  • Provider-level audit history

Commercial requirements

Memberships and packages are where revenue predictability comes from, and also where platforms differ most in quality. Test failed-payment retries, proration and banked credit rollover specifically.

  • Recurring membership billing with retry logic
  • Package and credit balances visible at checkout
  • Deposits on high-value appointments
  • Retail inventory alongside clinical inventory
  • Gift cards and promotions with reporting

Contract and exit terms

Read the term length, auto-renewal, price escalation and data export clauses before the features section of the contract. The cost of leaving a platform is a real part of the purchase decision.

Ask specifically whether you can export patient records, notes, photographs and financial history in a usable format, and whether that export carries a fee.
