How to Switch Med Spa Software

A migration sequence that avoids losing appointments, patient history or staff confidence during the change.

Decide what genuinely has to move

Not all historical data needs to live in the new system. Patient demographics, active memberships, package balances, future appointments and clinical records normally do. Years of marketing logs usually do not.

Reducing scope is the single most effective way to lower migration risk and cost.

Choose the right week

Go live in your quietest week, never in the run-up to a promotion or a holiday period. Block provider schedules lightly for the first three days and staff the front desk above normal levels.

Run the checks before you switch off the old system

Keep read access to the previous platform for at least ninety days. Before you cancel it, verify record counts, spot-check clinical notes and photographs, and confirm every active membership is billing correctly on the new platform.

  • Patient record count matches the export
  • Future appointments appear with correct providers and durations
  • Active memberships bill on the expected date
  • Package and credit balances are correct
  • Clinical notes and photographs are attached to the right visits
