How to Migrate Patient Data to a New Med Spa Platform

The data-level detail of a med spa migration: formats, field mapping, clinical records and verification.

Get the export specification first

Before agreeing a migration date, ask your current vendor exactly what they will export and in what format, and ask the new vendor what they can import. The gap between those two answers is your manual work, and it should be quantified before the project starts.

Clinical records are the hard part

Structured demographics move easily. Clinical notes, consent documents and photographs often arrive as attachments that are not linked to the correct visit, which makes them hard to use clinically even though they technically transferred.

Ask specifically whether notes and images will be linked to the originating appointment, and see a sample before signing off.

Verify with a sample, then with counts

Pick twenty patients across different service types and check their records field by field in the new system. Then reconcile total counts for patients, appointments, memberships and documents. Sampling finds mapping errors; counts find silent drops.
